The Public and Private folders

In the members' area you have two folders, Public Folder and Private Folder.

Public Folder

You can link to files in this folder, so keep posters, booking forms, and other files that you want to show to the public or club members.  Place links to the files anywhere in your website, for instance you might have a map to show the location of an event, a poster, booking form or other useful document.

Copy the shortcut to the file:

Create a link in your webpage and use the shortcut as the link information:

Add the link to the text in the page so readers can open your file

Private Folder

Keep minutes and similar items in here.  Files can only be opened when Members/Editors/Administrators are logged in and actually in the Private folder, you can not create a link to a file in the Private folder.

It is worth bearing in mind that Private files, technically, can be found by hackers, to really secure the files involves a security certificate used by on-line shops, etc and as you will imagine are prohibitively expensive to most clubs. 

So don't keep bank account details or anything that could compromise the club or an individual.  Ask yourself whether it would be a crisis if the printed version of the document was to be accidently left behind after a meeting in say a pub/restaurant/local hall, you wouldn't lose sleep if it was the minutes of last month's meeting but you might if it was the membership folder with sensitive personal details or the club's cheque book. 

As standard the Administrator and all Editors are able to access the Private Folder, however you may need to update the Control File (in the Members' Area) to allow Members to see Private files:

Alternatively if you don't want Members to see the files you will need to untick the Download private files box.
